The pace of regulatory change and technological innovation can make it feel as if privacy professionals are perpetually playing catch‑up. At The DPG we help clients turn compliance into a competitive advantage. In my role as OneTrust Product Service Owner,I’ve guided global organisations through privacy transformations and have seen first‑hand how automation liberates teams to focus on strategy.
The Winter ’26 OneTrust release reflects that shift. It signals a move towards AI assisted governance. Not to replace practitioners, but to augment them. The question is no longer whether AI belongs in privacy operations. It is how we adopt it responsibly.
Conversational analytics: your data talks back
Most organisations sit on mountains of program data but struggle to extract timely insights. OneTrust’s Copilot closes that gap. New conversational analytics allow you to ask natural‑language questions of your privacy and governance data and receive actionable summaries, tables and visualisations generated from out‑of‑the‑box reporting dashboards. The real transformation is not speed. It is accessibility. These capabilities are part of OneTrust’s broader Copilot initiative; the platform already uses natural language to surface regulatory insights, program effectiveness and configuration guidance. By combining internal program data with trusted external sources, Copilot makes it easier to respond to regulators or executives and supports audit‑ready reporting.

From a practitioner’s perspective, this is transformative. Instead of wrestling with spreadsheets or building bespoke reports, privacy teams can simply ask, “How many data subject requests did we close last quarter?” or “Which processing activities lack a legal basis?” and receive an answer immediately. It shifts analytics from a technical exercise to a conversational dialogue, unlocking program intelligence for everyone. In my experience, one of the biggest blockers to privacy maturity is not lack of tooling but lack of visibility. Conversational analytics directly addresses that challenge.
AI-assisted assessments: document scanning & inventory analysis
Privacy Impact Assessments (PIAs) and Data Protection Impact Assessments (DPIAs) are notorious for repetitive questions and manual copying of information. OneTrust tackles this with two complementary features:
- AI Document Scanning – In the upcoming release, AI scans external documents (business plans, product documentation, contracts or certifications) and auto-populates assessments with relevant information.
- AI Inventory Analysis – Already in preview, this feature references existing inventory records and past assessments to pre-populate answers in new questionnaires.
These capabilities were developed to solve a common pain point: duplicated work across hundreds of past assessments and internal documents. By automatically filling in known information, they reduce respondent fatigue, improve data quality and enable privacy teams to focus on high-risk areas rather than re-typing what they already know. Combined with leveraging attribute questions carrying over information, and reliance on the Global/Local features, they provide a comprehensive view of organisational context without errors in responses, multiple misaligned activities and an increased accuracy of data.
Smarter consent management & cookie compliance
Regulatory landscapes evolve quickly. New CMP updates support the latest IAB TCF 2.3 specification and introduce templates tailored to regional statutes such as the Maryland Online Data Privacy Act (MODPA), Oregon Consumer Privacy Act (OCPA), UK GDPR and Virginia CDPA. An improved auto-blocking interface simplifies whitelisting and blocking of trackers, while authenticated consent allows cross-device consent to be applied to new or existing user profiles.
For clients operating across multiple jurisdictions, these updates ensure banners and preference centres remain compliant without constant re-engineering. Integrating regional templates and cross-device consent into a single platform reduces the risk of inconsistent deployments and improves customer experience.
Universal consent enhancements: intelligent rules & acknowledgements
OneTrust’s Trust Center has become the public-facing hub for preference management. The Winter release introduces intelligent rules that dynamically display content based on a user’s profile, interaction type or session context. This means businesses can tailor disclosures or preference journeys depending on whether a visitor is a prospect, existing customer or returning data subject. Consent acknowledgement emails send end-users a record of their updated preferences, reinforcing transparency and trust.
Streamlined data subject management
Managing large volumes of data subjects is challenging, especially when test records or outdated information clutter the system. New bulk edit/delete actions enable administrators to export data subject lists, perform actions (delete or remove test flags) and re-import the file to update the platform at scale. This reduces manual clean-up and ensures your consent database reflects reality.
Risk to issues: closing the loop on remediation
Traditional risk registers can become bloated with items that no longer meet organisational thresholds. Risk to issues conversion allows privacy and risk teams to convert a risk into an actionable issue workflow—mapping existing attributes and assigning it to the appropriate owners for remediation. If circumstances change, the issue can be reverted back into a risk record. This flexibility keeps risk registers focused on current priorities and improves accountability for follow-up.
AI-powered document analysis & governance
Governance doesn’t stop at privacy. OneTrust’s new AI-powered document analysis reviews policies against control frameworks and provides recommendations for controls, risks or issues. By linking documents to relevant frameworks and identifying gaps, it accelerates compliance reviews and helps organisations align with emerging standards.
In the AI governance domain, OneTrust also introduces inventory global/local functionality, enabling standardised global records for AI systems, models and datasets while maintaining contextual variations across business units and jurisdictions. This ensures consistent governance practices while accommodating regional regulatory differences.
Platform and admin improvements
Beyond headline features, Winter ’26 includes numerous quality-of-life enhancements. Administrators can now flag new permissions within the roles settings, making it clear when product updates introduce additional privileges. Assessment email templates can display your organisation’s tenant name via a new variable, ensuring communications reflect your brand. Performance fixes across assessments screens and exports improve reliability.
Why it matters
Privacy teams today are expected to manage compliance, enable innovation and reassure regulators—all while resources remain constrained. The Winter ’26 release shows how AI and automation can elevate privacy from a reactive function to a proactive driver of trust. OneTrust’s Copilot capabilities surface insights and reduce manual lift, while AI-assisted workflows reduce fatigue and improve accuracy. Crucially, OneTrust commits to responsible AI: models are not trained on customer data, workflows default to manual review and human oversight is built in.
For practitioners like me, these guardrails are non-negotiable. Transparency and explainability are embedded into every step of OneTrust’s AI processes, ensuring that automation remains a tool to complement human judgment.
